MindAttic Cares
MindAttic Cares is a 501(c)(3) nonprofit organization dedicated to serving charitable, educational, and social missions that benefit the public. The organization provides digital access, support, and educational assistance. Its goal is to help individuals who lack the means to access education, entertainment, and resources in the digital space.
Child’s Play
This year, we are proud to focus our giving efforts on Child’s Play, a nonprofit that uses the power of gaming to improve the lives of children in hospitals.
Founded in 2003 by Mike Krahulik and Jerry Holkins of Penny Arcade, Child’s Play now supports 190+ hospitals and domestic violence shelters worldwide, reaching countless children. Their initiatives go far beyond providing games; they create meaningful therapeutic opportunities.
Games are more than entertainment. They provide comfort, distraction, empowerment, and joy during some of the hardest times in a child’s life. With your support, Child’s Play can continue to help children around the world Play Games, Feel Better™.
Y2K: End of the World Party
A complete charity-event playbook — benefiting Child’s Play.
1. Overview & Goals
Purpose. Stage an immersive, late-90s charity party on New Year’s Eve that culminates in a theatrical midnight “Y2K power failure” — raising funds and in-kind support for Child’s Play.
Theme. What we were all doing on 12/31/1999 — N64 on CRTs, TRL-era music, Lisa Frank, slap bracelets, Surge and Mountain Dew, Totino’s Pizza Rolls, countdowns on TV. At 11:58 PM a pre-recorded “breaking news” bulletin warns of a grid collapse. At 12:00 AM the master breaker is pulled and the event ends in a controlled blackout.
Target. 250 GA + 30 VIP attendees (cap 320 incl. staff/sponsors), ~$50K gross / ~$10K net to Child’s Play after costs.
Success Criteria
- Hit fundraising target (cash + in-kind) and finish in the black.
- 95% uptime on consoles/arcades; zero safety incidents.
- Blackout sequence executed flawlessly (emergency lights active, safe egress, positive guest sentiment).
- Net Promoter Score ≥ 50 in post-event survey.
- At least 3 returning sponsor commitments for next year.
2. How to Use This Playbook
This document is structured for an organizing committee of 4–8 leads. Read top-to-bottom once, then assign owners per section. The 12-Week Timeline is your spine; every other section feeds it. The Budget is your guard rail; recheck after every signed contract. The Master Checklists are your safety net for the final 72 hours.
Event Lead (final approver) · Producer (vendors, timeline) · Sponsorship Lead · Marketing Lead · Tech/AV Lead · Volunteer Coordinator · Finance/Compliance.
3. 12-Week Planning Timeline
Working backward from event day (ED). If your venue or municipal permits demand longer lead times, expand T−12 accordingly.
T−12 weeks — Foundation
- Confirm 501(c)(3) status and fiscal sponsor letter ready for sponsors.
- Set date, capacity target, ticket price tiers, and gross-revenue goal.
- Open dedicated event bank sub-account; set up accounting tags.
- Begin venue scouting (3–5 candidates); request walkthroughs.
- Draft sponsor one-sheet and target list of 25–40 prospects.
- Stand up event website (this page), reservation list, and email capture.
T−10 weeks — Lock the venue
- Walkthroughs complete; verify circuits, dock, elevator, egress, ADA.

- Request insurance quotes (GL 1M/2M + host liquor if applicable).
- Place vendor holds: console partner, arcade row, furniture, AV/DJ.
T−8 weeks — Launch sales
- Sponsorship outreach in earnest; 1:1 calls with top 10 prospects.
- Open ticket sales (early-bird pricing for first 2 weeks).
- Announce on socials with brand identity locked.
- Begin volunteer recruitment (target: 18 volunteers, recruit 24).
- Brief Child’s Play on the event; request quote & logo usage.
T−6 weeks — Production design
- Finalize floor plan and power map; share with venue and electrician.
- Confirm console counts (24 live + 4–6 spares) and arcade lineup.
- Lock catering menu and bar plan; pay deposits.
- Commission “Breaking News” bulletin video (3–4 week lead).
- First sponsor commitments due; update budget.
T−4 weeks — Press & volunteers

- Order signage, wristbands, sponsor wall, merch.
- Finalize raffle & auction items; print bid sheets.
- Lock paid social ad spend (peaks T−3 to T−1).

- Pre-pack load-in kit (gaff tape, ramps, tools, first aid, batteries).
T−1 week — Final confirms

- Last marketing push: email blast, IG stories, “tickets running out.”
Event Day — Execute
4. Venue, Permits & Insurance
Target Spaces (~5,000–8,000 sq ft, ground-floor preferred, 200+ amp service):
- Event lofts, gallery spaces, brewery taprooms, community halls, school gyms (after-hours), or convertible warehouse venues.
- Built-in dock, freight elevator, and enough 20A circuits for ~80–100 amps of live load.
- House A/V is a bonus; full BYOAV is acceptable.
Venue Action Steps
- Licensing. Short-term license agreement; spell out hours, load-in, signage rights, alcohol policy, security minimums.
- Walkthrough. Map circuits/panels, dock + elevator dimensions, egress routes, emergency-light controls, restroom counts.
- Approvals. Get written sign-off on the intentional blackout sequence; coordinate with fire marshal if required.
- Insurance. Certificate of Insurance naming owner/manager as additional insured; vendor COIs collected; host-liquor coverage if alcohol is served.
- Permits. Special-event/indoor-amusement permit; temporary food permit; special-event liquor (if serving). Lead time varies by city — file early.
- Life Safety. Confirm emergency lighting stays active during the breaker pull; entry signage informs guests; ADA compliance throughout.
The midnight blackout pulls only show-load circuits. Emergency egress lighting, exit signs, and fire systems must be on an independent, untouchable circuit. Get this in writing from the venue and the electrician of record.

- Audio/Projection ≈ 15–20 A

- DJ set: late-90s top 40, alt-rock, hip-hop, and a midnight throwback bloc.
Host Script — Live Ask (21:30, 2 minutes)
“Tonight is a party — but it’s also a delivery. Every dollar you spent on a ticket, every drink, every raffle ticket goes to Child’s Play. Since 2003 they’ve put games into the hands of kids in 190+ hospitals worldwide — comfort during the hardest weeks of those kids’ lives. If you’ve ever lost an afternoon to GoldenEye, you know exactly what that means. The donation kiosk is by the door. Three taps. Then come back and beat me at Mario Kart.”
